What is your process like?

Typically, we start with a phone call or video conference to “meet”, discuss your needs, go over expectations and determine if we will be a good fit. Next, I’ll send you a contract to be signed and sent back to me. I’ll email you back a fully executed copy of the contract for your records along with a copy of my Business Policies and a Client Information questionnaire for you to fill in so that I get to know your business better. Lastly, if you don’t already have a project management system in place, I will set up a board in Trello for you to assign new tasks to me and we can begin!

What is your turnaround time?

I will do my best to get things done in a timely fashion. Generally speaking, my average turnaround time on tasks is 2-3 business days. Project turnaround times vary depending on your needs and the scope of the project.

All tasks and projects will need to have a deadline date. That can be entered into a calendar. (Which means “ASAP” will not be considered a deadline!) Less than 48 hours notice will be considered a rush request.

What are your hours?

My office hours are typically Monday thru Friday 9:00 am – 5:00 pm (MST), excepting Holidays.

Solely at my discretion, I may work outside of my office hours to 1) ensure that I meet our agreed upon deadlines or 2) accommodate a rush request.

What tools do you use (or have used)?

With over 20 years of professional administrative experience, I have been introduced to, and used a lot of, different programs and systems!

I use the following tools in my business: Adobe Acrobat XI Standard (pdf creator and editor); Google: Calendar, Contacts, Docs, Drive, Gmail, Hangouts, Keep, Meet, Photos and Sheets; Microsoft Office: Excel, PowerPoint and Word; Canva (free graphic design tool); Dropbox (sharing project/tasks files); Trello (task management system) and Wave (accounting software).

If you’re not seeing a specific tool, please feel free to ask me if I have experience with it. And if I don’t, I have a knack for learning “techie” stuff and am always excited to expand my repertoire. 

How do you communicate?

The best way to reach me is by email (juliette@juliettecailliau.com) as I prefer to have a “paper trail” to refer back to. Alternatively, leaving comments for me in our project management system (e.g. Trello) is also a great way for us to communicate.

That being said, I understand that sometimes it is much easier to quickly discuss an issue instead of having an email chain or series of comments going back and forth, so as long as you give me a heads up that we need to talk, we’ll schedule a time to do so during my Office Hours as quickly as possible.

How does billing work?

Admin services are offered at an hourly rate.

  • As-needed (ad hoc) hours will be billed bi-weekly starting from the date our contract is signed. A late fee will be assessed if the invoice remains unpaid 15 days after it is sent. Services will stop until payment in full has been received.

  • Ongoing (retained) hours are sold as a package and will be invoiced monthly in advance. Invoices are due and payable before the month’s work begins. Two unused hours can be carried over to the next month but they have to be used within 30 days or they expire.

Online business services set up are billed at a project rate. A 50% deposit is required to begin the project with the remaining 50% due upon completion, prior to delivery. 

Rates do not include domain registration, hosting fees, stationary, printing, mileage or other out-of-pocket expenses.

Rush requests (less than 48 hours notice) will be charged an urgent request surcharge.

Do you work with any website platforms other than Weebly or Squarespace?

Not at this time.

Do you have a referral bonus or incentive?

YES! For each new client* who hires me as a result of your referral, I will give you 1 hour of FREE administrative services as a thank you.

*Has signed a contract and paid me for work done. I know, it would seem self-explanatory but sometimes contracts get signed but we don’t actually go forward.
